How to create a quote for a client

You can create a quote for a new client or an existing client through the web and mobile:

Web

  • Step 1: Click Quotes on the sidebar menu, then click New Quote

  • Step 2: Enter the client name (pick an exiting or create a new one)

  • Step 3: Add services or line items (price, description, qty)

  • Step 4: Review the quote details and add quote notes if needed (optional)

  • Step 5: Preview the quote and send it by Email or SMS (add an attachment, choose a template, add CC)

 

Mobile

  • Step 1: Tap on + and select New Quote

  • Step 2: Enter the client name (pick an exiting or create a new one)

  • Step 3: Add services or line items (price, description, qty)

  • Step 4: Review the quote details and add quote notes if needed (optional)

  • Step 5: Preview and send it by Email and/or SMS (add an attachment, choose a template, add CC)

 

How to create a quote for a lead

You can convert a lead to a quote in the Jim’s Jobs Web and the Jim’s Jobs app.

Web

  • Step 1: Save the lead as a client

  • Step 2: Click Go to Client at the right top corner of the lead details page

  • Step 3: On the lead tab, click Add Quote under column Action

  • Step 4: Enter the service price or add new services

  • Step 5: Click Preview & Send at the bottom of the New Quote pop-up

  • Step 6: Review the quote printout, then choose Send Email or SMS

 

Mobile

  • Step 1: Save the lead as a client

  • Step 2: Tap + Quote at the bottom of the lead details page

  • Step 3: Enter the service price

  • Step 4: Tap Done on the top right corner of the lead details page

  • Step 5: Review the SMS and email, then tap Send

 

How to create a GST-free quote

You can create a quote for GST-free quote through the web and mobile:

Web

  • Step 1: Click Quotes on the sidebar menu, then click New Quote

  • Step 2: Enter the client name (pick an exiting or create a new one)

  • Step 3: Add services or line items (price, description, qty)

  • Step 4: Click GST and select None 0% from the dropdown

  • Step 5: Preview the quote and send it by Email or SMS (add an attachment, choose a template, add CC)

Mobile

  • Step 1: Tap on + and select New Quote

  • Step 2: Enter the client name (pick an exiting or create a new one)

  • Step 3: Add services or line items (price, description, qty)

  • Step 4: Tap on GST and select None 0%

  • Step 5: Preview & send it by Email and/or SMS (add an attachment, choose a template, add CC)

 

How to customise your quotes template

On Jim’s Job Web, you can customise the General Note section of a quote template. This will apply to all quote printouts:

  • Step 1: On the side menu, click Settings

  • Step 2: Click SMS Template or Email Template

  • Step 3: Click EDIT Send Quote

  • Step 4: On the pop-up, edit then click UPDATE

 

If you want to tailor the Note section for a specific client, it can be added through the quote notes section of an individual quote.

 

How to find and manage quotes

Search quotes

You can search for a quote through the date, client and quote status filters.

There is also a search function located on the top. You can find a quote by searching the client name, services, quote number and quote notes.

 

 

Change status

A quote status shows whether the quote is active, expired, cancelled, accepted, rejected, or job added. You can change it on the Jim’s Jobs app and web.

Web

  • Step 1: Click Quotes on the sidebar menu. On this page, you’ll see quotes details

  • Step 2: On the status column, click on the status and open the list of available statuses

  • Step 3: Update the status

Mobile

  • Step 1: Tap on More on the bottom bar menu and select QUOTES

  • Step 2: Find the quote and click on it to edit the QUOTE

  • Step 3: Tap on status on the right of the quote page and change

Note: Continue to keep the quote status as "Active" will trigger quote follow-ups if the automatic quote follow-ups function has been turned on. 

Re-send a quote

Web

  • Step 1: On the quotes list page, hover over a quote

  • Step 2: Choose SMS or Email from the action icons

Mobile

  • Step 1: Tap on More on the bottom bar menu and select QUOTES

  • Step 2: Find the quote

  • Step 3: Tap on the three dots to EDIT QUOTE

  • Step 4: Choose send button on the top right corner to select send options, then click Send

 

How to change the settings for quote follow-ups?

Quote follow-ups will allow you to get in touch with prospects when they haven't responded back to a quote you've sent them and can help you win more work with less effort.

This function will automatically send a reminder via email or SMS to the client about the quote that is still in the active status. 

The settings for quote follow-ups can be found by going to the Settings > Auto Follow-Ups.

Under the section Quote Follow Up, you can find the settings for quote follow-ups. This is where you can turn this feature off/on by clicking the tick boxes and choose when the reminder is sent out.

If the quote follow-up function is enabled, automatic follow-ups are sent to prospects whose quotes are in the "Active" status.
