FSO Points - Franchisor Training Points

Description

Franchisor Training Points is a set of tools embedded in FMS5 that aims to bring the FSO points process online. It includes an online points submission portal for Franchisors as well as an approval process and records maintenance for the administrators of this business process.

Process Flows and information

The points submission process involves Franchisors and FootHills staff to access a page to create a “Training points submission” request through FMS5 to Finance team for approval. This can be accessed via Franchisor Site as well as through the menu in FMS5. The approval process will utilize the Action List page in FMS5 where new submissions will appear in a to-do list on the landing page on FMS5.

Each Franchisor will have a single set of points, all trainings and meetings for any division/region that they own will go towards the total count. A single event/training/meeting will only count towards the additional of a single set of points. E.g. Franchisor with 2 regions attends a divisional conference call will only accumulate 5 points instead of 10.

This is the yearly points roundup process where the system will determine if a Franchisor has accrued sufficient points to meet the requirement and determine the FSO points Status.

For Franchisors that has sufficient points, their status will be set to “OK”

For Franchisors that has insufficient points their status will be changed based on the following table:

User guide:

Points Submission (Franchisors and Foothills staff)

This is a page designed for FSOs and Foothills staff to submit a Points addition request. We will add a link to this page for FSOs in FMS5 and also on the Franchisor Site.

  1. Access the Submit FSO Points screen either by accessing the “Compliance” → “Submit FSO Points” menu item or directly from the FSO site:

Alternatively you can find a link to the page from the FSO site that will redirect you to FMS5
  1. Fill in the details on the Add Training Points page

  1. On the Add Training Points page:

  2. Select a Division

  3. Select FSO type and Click on the Search Icon

  4. Select the FSOs that needs the points added to (Use the controls between the two fields to add/remove FSOs to the list of selected

  5. Select an Item for the points awarded for E.g. National Conference

  6. Select the Date of the event

  7. Check to see if the correct points has been assigned from the Item selected in step 5

  8. Attach a supporting document (Just any pdf will do)

  9. Submit the request

2. Divisional Support team will receive a notification when you submit the Points Addition Request.

Points Approval (Divisional Support)

  1. FSO points Submissions will go to the Approver’s Action list, this is the default landing page if you are the approver:

Alternatively, you can access your action list by clicking on your name in the top right hand corner and access the Action list from the dropdown.

2. You will see a list of FSO points requests in the queue on the left hand side of the screen. Click on a ticket to open it up for Approval. The 1st item in the queue will be open by default.

3. To Approve/Reject a submission, use the controls on the bottom right hand corner on the Ticket details section.

Points Summary and Maintenance (Divisional Support)

FSO point administrators have the access right to add/remove FSO point records from the FSO Points Summary page:

This page can be accessed via the “Compliance” → “FSO Points Summary” Menu item

To view/modify the FSO point records for a Franchisor record, access the details page by clicking on the corresponding row from the table.

From this screen, you are able to Add/Delete an FSO points record for the selected Franchisor

 

Points Reminder(Divisional Support)

This is a page where you will be able able to select and modify a reminder notification to Franchisors.

To access this page, select the “Compliance” → “FSO Points Reminder” menu item.

Select a template from the dropdown. Check the contents of the reminder and hit “Send”.

A copy of the reminder will be sent to all Franchisors.

 

 

Points Yearly Round Up (Divisional Support)

The Round Up button can be access via the “Compliance” → “FSO points Summary” page.

*NB* This button will be disabled throughout the year. When the business process owner is ready to proceed with the round up, I.e. when all the requests from the previous year has been processed when returning to the office in January, he will request to have the button enabled by emailing InfoTech@jims.net with the subject “FMS5 - FSO Points annual round up ready” .
